Civitas University in Warsaw has signed a contract to implement a student e-portfolio project based on the WEBCON platform. This initiative represents the next stage in the consistent digitization of the university’s administrative processes and the modernization of student documentation management. The goal of the project is not only to replace paper documentation with an electronic solution, but above all to organize and automate key processes accompanying the entire student lifecycle.
A single digital environment for the entire course of study
The planned solution will enable comprehensive management of student records in a single, cohesive digital environment—from the recruitment stage, through the course of studies, to the completion of education and the archiving of documents. The student’s digital file will include personal records, academic history, degree documents, as well as financial and financial aid-related matters. Centralizing data will increase process transparency, improve information accessibility for authorized staff, and significantly enhance data security.
Automation and flexibility thanks to WEBCON
The technological foundation of the project is the WEBCON platform—a modern low-code solution that enables rapid modeling, automation, and development of administrative processes. By utilizing it, Civitas University will be able to reduce the time required to handle student affairs, minimize manual work, and flexibly adapt procedures to changing legal regulations and formal requirements. The system also allows for the gradual expansion of the e-portfolio’s scope to include additional processes, without the need to rebuild the entire solution architecture.
Proven implementations and integration with registrar’s office systems
PCG Academia—a WEBCON Premium Partner with extensive experience in implementing the WEBCON platform in higher education—is responsible for the project’s execution. At the same time, PCG Academia is currently conducting over a dozen student e-portfolio implementations at various universities in Poland, building solutions integrated with the two most popular dean’s office systems on the market: PCG Dziekanat and USOS.
Thanks to this approach, the student e-portfolio does not function as a separate system but becomes a natural extension of the registrar’s office environment, utilizing data already existing at the university. This integration eliminates the need for double data entry, enhances data consistency, and significantly streamlines the daily work of the administration.

The project at Civitas University will be implemented in phases, step by step, to ensure a secure and modern digital transformation for the university. Together with Aleksandra Matukin-Szumlińska, we are leading a comprehensive process that includes streamlining key administrative processes, managing change from initial analysis through to implementation, tailoring the solution to the university’s actual needs, and providing training that combines legal expertise with technology—so that the new system is truly utilized, not just “on paper.” We begin the project with a pre-implementation analysis, then move on to configuration, integration, and preparing staff to work in the new environment. Our priority is full continuity of record-keeping and compliance with applicable regulations regarding student records—so that the results of the implementation are both practical and 100% secure.
