PCG Academia signs a PLN 9.4 million contract with the Tadeusz Kościuszko University of Technology in Krakow

Under the newly signed contract worth PLN 9.4 million, PCG Academia consultants will provide the university with tens of thousands of implementation and development hours, which will translate into the creation of numerous new business applications, document flows, and electronic processes based on the WEBCON BPS platform.

History of cooperation between PCG and the Technical University
PCG Academia and the Tadeusz Kościuszko University of Technology in Krakow have been working closely together for nearly two years – since the university made a strategic decision to purchase the WEBCON BPS platform and make extensive use of its capabilities to move away from paper documentation and streamline existing administrative procedures.
As part of the first stage of implementation, completed in 2023, PCG Academia provided the University with the highest version of the WEBCON BPS license – with no time, functional, or user limits. After installing the platform in the university’s server environment, work began on digitizing processes in eight key areas: office work, organization and management, renovation and investment, public procurement, finance and accounting, research and development, design, and employee and social applications.
In the second stage of the project, implemented in 2024, the WEBCON BPS system was extended to cover further processes, including contracts, periodic employee evaluations, applications for personal data protection, social matters, work regulations, employment, as well as a tool for reporting problems and failures, and integrations with eNadawca and MS Dynamics were also carried out.
The results so far are impressive: 31 applications based on WEBCON BPS have been implemented at the University of Technology, and 157 electronic document flows have been launched. In total, system users have initiated processes over 250,000 times, which, according to estimates, has saved nearly 1,000 working days compared to performing the same tasks in the traditional paper-based form.
New contract – cooperation based on trust
The positive experience of the University of Technology in its cooperation with PCG Academia resulted in an order for further development of the WEBCON BPS platform on a “time-material” basis, i.e. without a predetermined scope of tasks to be performed.
The work on the project will be defined through ongoing dialogue between the university and PCG Academia, taking into account the current expectations of users and the current priorities set by the university authorities. This formula for implementing IT projects at universities is gaining popularity due to its flexibility and guarantee of effective use of the funds allocated for the investment.
As part of the first activities in the new stage of cooperation, the digitization of the following areas is planned:
- eDeliveries – handling correspondence in accordance with the Electronic Delivery Act, with full registration, confirmations, and integration with the eDO address register
- Contracts – expansion of contract lifecycle management processes, including conclusion, modification, archiving, and deadline control
- Finance – completion – extension of invoice, budget, and settlement services to include new sources of financing and organizational units
- Control panel – further configuration of the central panel, supporting user management, permissions, and real-time statistics
- Failures and repairs – implementation of fault reports and repair work, with scheduling and reporting of completion
- Internal office – handling of internal documents and correspondence within the university’s organizational structure
- Signature – integration with qualified signatures and internal signatures within electronic workflows
- Shop – university purchasing process, including ordering, approval, and inventory of goods
